Credit Note management

The Credit Notes page displays a list of all the invoices that have been refunded to your customers. This information also includes the date of the refund, the name of the customer it pertains to, the amount credited as well as the credit note number and status.

The credit note number is a combination of the Customer ID and a unique set of alpha-numeric characters. The credit note status displays whether an invoice has been paid, failed or is pending.

By default, the list of credit notes associated with your account will appear in chronological order by date of issue. To change the default setting, select the small arrow beside the column headers to reorder by 'Customer Name' or 'Amount Credited'.

Credit Note Status

Paid
This is displayed when an invoice has been successfully paid into the customers' account.

Failed
This is displayed when there has been an attempt to credit the invoice, but the payment hasn't been processed.

Pending
This is displayed when the credit note has recently been issued and is still pending on the customer's account.

Reattempt credit note

To reattempt a failed credit note payment click on the failed invoice and select the 'Reattempt' button in the top left corner of the screen. This will automatically perform the action for you.

Exporting credit note data

To export your customer data, click the 'Export' button in the top right corner of the Credit notes page.

We'll generate the data in the background so you can keep using the Billsby control panel. Once the export is complete, we'll email you a link to download the file in a .CSV format.

If you filter by state date and end date, we’ll only export credit notes that were created between those dates. If you do not filter by date, we'll export all credit notes

This will export the following credit note data:

  • Credit note ID
  • Created on date
  • Amount
  • Status
  • Currency code
  • Customer Unique ID number
  • Customer full name
  • Customer email address

FAQs

How do I view credit notes

On the side bar of the Billsby dashboard, head to Invoices and credit notes > Credit notes. Here you'll be able to view all credit notes associated with your account.

How do I filter credit notes by status?

You can filter your credit notes based on the status of payment. In order to do this, head to Invoices & credit notes > Credit notes and hit the status header or filter icon to select a status to filter by i.e paid, unpaid etc.

How do I download a credit note?

To download a credit note, locate the credit note in Invoices & Credit notes > Credit notes and then hit 'View' to open the individual credit note. Here you will have the option to download the credit note as a PDF.

How do I resend a credit note?

To resend a credit note to customer, locate the credit note in Invoices & Credit notes > Credit notes and then hit 'View' to open the individual credit note. Here you will have the option to resend the credit note to the customer.

How do I reattempt payment of a credit note?

To reattempt payment of an unpaid credit note, locate the credit note in Invoices & Credit notes > Credit notes and then hit 'View' to open the individual credit note. Here you will have the option to reattempt payment of the credit note.
